Build and submit the quote from the signed-off luminaire schedule, including installation labour, containment, testing, commissioning, and certification. State product lead times.

RFQs and Purchase OrdersRFQs

Issue RFQs to luminaire suppliers on acceptance. Raise purchase orders once pricing is confirmed. Order extended-lead-time products early to protect the installation programme.

InstallationJobs

Install to the agreed programme in coordinated access windows. Record any deviations from the luminaire schedule and flag for variation tracking.

Commissioning and Emergency Lighting TesteForms

Aim and focus directional fittings, configure controls, and carry out the emergency lighting duration test. Record all results on the certification form.

Handover and Final InvoiceInvoices

Issue as-fitted luminaire schedule, electrical installation certificates, and emergency lighting test records. Provide warranty terms and raise the final invoice on the day of handover.

What this workflow solves

Luminaire specifications change between design sign-off and procurement, but without a formal approval step, updated specs and purchase orders regularly diverge from the original quote.

Retail stores restrict installation access to evenings and weekends, making scheduling complex when multiple suppliers have different delivery dates and the fit-out programme is fixed.

Multiple luminaire types from different suppliers carry different lead times, and without a procurement tracker it is common to reach the installation date with key fittings still outstanding.
