What a job sheet records
A job sheet is the record of a visit: what the customer asked for, what was actually done, who did it and for how long, and what was used. It is what the invoice is built from, so the useful ones are specific. A good job sheet carries:
- A job sheet number and the job reference, so the sheet ties back to the quote and forward to the invoice.
- The customer, the site address and the contact on the day.
- The work requested and the work carried out, kept separate. When they differ, that difference is usually a variation someone needs to price.
- Labour for each person, with start and finish times and any break, rather than a single number of hours.
- The materials used, with quantities, including anything taken from the van.
- Whether the job is complete or needs a return visit, and what is still to do.
- The customer’s name, signature and the date.
Why the customer signs
A signed job sheet is the customer agreeing that the work described was done. It is the document you point to when an invoice is queried weeks later, and it is far easier to get on the day, with the work in front of them, than after the fact.
Job sheet, work order, timesheet
The three overlap. A work order is the instruction before the visit: what to do, where and when. A job sheet is the record after it: what was done, with the times and materials. A timesheet tracks one person’s hours across many jobs. Small businesses often run all three on the job sheet, which works as long as the times are recorded per person.
