What a delivery note usually includes
There is no legal list of contents for a delivery note in the UK. It is the record of what left you and what the customer received, so what matters is that someone at goods-in can check the boxes against it and sign. In practice UK delivery notes carry:
- A unique delivery note number, so the note can be found again when the invoice or a query arrives.
- The delivery date, your company details and the customer with the full delivery address, which is often not their registered address.
- The customer’s purchase order number. It is the reference their accounts team will match your invoice against, so leaving it off slows your payment down.
- One line per item with the product code, the description, the quantity ordered and the quantity in this delivery.
- For a part delivery, what is still to follow, so nobody reads a short delivery as the whole order.
- The carrier, a tracking number and the number of packages when the goods are not going on your own van.
- A space for the person receiving the goods to print their name, sign and date.
Part deliveries
Short-shipping a line is normal - a colour runs out, a decoration batch fails its check, a supplier delivers half. What causes trouble is a note that does not say so. Record the ordered and delivered quantity on every line and the note shows what is still to follow, which is also the number the invoice should be raised against.
Delivery note, purchase order, invoice
On the customer’s side a delivery note is the middle document of three. Their purchase order says what they asked for, your delivery note says what arrived, and your invoice says what they are being charged. When all three agree, the invoice gets paid; when they do not, the delivery note is usually the one that settles it, which is why the signed copy is worth keeping.
The delivery note raised from the order
