Receive and document the client brief, capturing product type, quantity, budget, delivery date, artwork intent, and compliance requirements before starting any supplier outreach.

Assess whether the required delivery date is achievable and build the client quote incorporating estimated unit cost, tooling charges, and a margin for the additional management time this order type requires.

Send a structured product specification brief to two to four factories, requesting unit prices, tooling costs, sample lead times, and production timelines.

Issue a confirmed purchase order to the chosen factory specifying quantity, unit price, tooling cost, sample submission requirements, and production timeline milestones.

Manage the sample review process against the original brief - dimensions, materials, colors, decoration quality, and compliance markings. Coordinate written client sign-off before releasing production.

Monitor production against the confirmed timeline. Confirm goods are complete and ready to ship, then arrange freight and obtain all required shipping documents.

Check received goods against the purchase order and approved sample. Raise a delivery note. Invoice the client once goods are confirmed correct; initiate a supplier claim if discrepancies are found.
