Promotional Merchandise - Managing a Client Rebrand Product Refresh

New brand across every product. Zero dropped orders.

Step by step

1
Rebrand Brief and Product Range AuditLeads

Receive the client rebrand brief and audit every active product line - artwork status, remaining stock, and minimum order quantities. This becomes the master document for the refresh.

2
Specification Agreement and RequotingQuotes

Agree new product specifications and pricing. Requote any lines changing material, decoration method, or supplier before confirming the updated range to the client.

3
Artwork Brief and Batch ApprovaleForms

Issue artwork briefs per product line and manage approvals in batches grouped by supplier or decoration method - signed-off artwork sent to each supplier in one instruction, not product by product.

4
Supplier Order PlacementPurchase Orders

Raise purchase orders for new-brand items in supplier batches as artwork is approved. Artwork sign-off is a hard gate before any order is committed to a supplier.

5
Production Monitoring and Stock TransitionInventory

Track remaining old-brand stock against expected new-brand delivery dates. Alert the client when old stock is running low and agree the cutover point to avoid supply gaps or double-holding.

6
Delivery, Invoicing, and Account Close-outDelivery Notes

Confirm delivery of new-brand items, raise delivery notes and invoices. Close out old-brand stock in the system and agree with the client how any residual items are handled.

What this workflow solves

Tracking which products have completed artwork approval and which are still pending becomes disorganized when a client is refreshing 20 or more product lines simultaneously - and orders placed before formal approval result in costly reprints.

Old-brand stock is still being consumed while new-brand items are in production, making it difficult to time deliveries precisely so old stock runs out when new stock arrives without a supply gap or a period of double-holding.

Pricing for the refreshed range may differ from the previous range if specifications change alongside the rebrand - new decoration methods, different colourways, or revised minimum order quantities - and failing to requote leads to margin erosion on a high-value ongoing account.
