Job Sheet
A document given to a field operative before a site visit, summarizing scope of work, materials required, hours allocated, safety requirements, and what must be signed off on completion. Used in electrical, plumbing, construction, and AV service businesses.
A job sheet is the field operative's working document for a specific site visit or assignment. It sits one level below a works order in a trade business's document hierarchy. The works order is the management-level authorization to carry out work and the cost record against which procurement and invoicing are linked. The job sheet gives the attending operative the condensed information they need to execute: site address, access instructions, scope of work, materials required, hours allocated, safety requirements, and what must be signed off before leaving.
In electrical, plumbing, and AV service businesses, job sheets are generated from the works order and distributed to the operative before departure - as a printed form, a PDF to a mobile device, or completed digitally via a field app.
What a Job Sheet Should Include
A well-built job sheet records:
- Job reference number linked to the works order and customer record
- Customer name, site address, and access instructions
- Scope of work broken down by task, not a single-line description
- Materials and tools required, by product code where available
- Time allocated per task
- Safety and isolation requirements
- Completion checklist: what must be tested or documented before leaving
- Space for the operative to record actual time, van stock drawn, and any additional work identified on site
That last section is where job sheets most often fall short. A job sheet that records only planned work - not actuals - misses the data that drives accurate job costing. When actual hours, materials, and scope additions are captured at the point of work, the business has the information needed to invoice correctly and measure real job margin.
